AMEA Governing Board Meeting June 16, 2011 Montgomery Renaissance Hotel Montgomery, Alabama The AMEA Governing Board met at the Renaissance Hotel in Montgomery, Alabama on June 16, 2011. The meeting was called to order at 10:17 a.m. by AMEA President Steve McLendon. Present at the meeting: Steve McLendon, Garry Taylor, Karen Hickok, Carla Gallahan, Taylor Sparks, Sara Womack, Tim Phillips, Jane Powell, Dakota Bromley, Moya Norlund, John Cooper, Rusty Courson, Clay McKinney, Jody Powell, Beth Davis, Martha Lockett, and Karla Hodges. Introductions occurred with all members present. The minutes of the January 22, 2011 meeting of the AMEA Governing Board were read by Recording Secretary, Carla Gallahan. The minutes were approved as read. The financial report was presented by Garry Taylor. The report was approved as presented. Each officer discussed their role and responsibilities in the organization. The Board began leadership training at this time. Officer,
Representatives, and Division Reports Old Business AMEA Conference Photographer – very good pictures were provided of the AMEA Conference. After discussion, the Board decided that each Division will be responsible for taking photographs of their Division events at the 2012 Conference. Music Education Week will take place in Washington, D.C. June 24-28, 2011. AMEA will have several representatives attending this event. Future Alabama Music Educators (FAME) – the Board discussed ideas to increase participation in this event. Dr. Tim Lautzenheiser will speak to this group at the 2012 AMEA Conference. A discussion occurred on the method of accepting purchase orders during on-site registration at the Conference. The Board discussed the proposal submission process for recording performances at the 2012 Conference. The vote on the proposals will occur at the August meeting. The Advocacy Committee is establishing “talking points” and is developing a plan in order to improve music advocacy in the state. New Business The Hall of Fame, Outstanding Administrator, and Outstanding Music Educator Award submissions are due soon and members are encouraged to nominate. The president of each division will submit names to President McLendon of members to serve on the nomination committee for upcoming AMEA Officer elections. A discussion occurred on encouraging CMENC membership and the number of chapters in the state. Procedures for budget line item expenditures were reviewed. A voucher must be submitted to the treasurer to maintain thorough and accurate records. The proposed AMEA budget for 2011-2012 was presented and discussed. A motion was made to accept the budget (Martha Lockett, John Cooper). Passed. The Board discussed reimbursing each Division President-Elect (the CMENC President and outgoing President) for their attendance at the Leadership Training held during the summer AMEA Governing Board Meeting. A motion was made to provide mileage reimbursement for this effective June 16, 2011 (John Cooper, Dakota Bromley). Passed. Garry Taylor distributed session proposals and performance applications to each Division President for the 2012 AMEA Conference. The session and performance selections must be sent to Mr. Taylor by July 1, 2011. A review of the schedule for the 2012 AMEA Conference was conducted. The 2012 AMEA Conference will be held at the Renaissance Montgomery Hotel and Convention Center on January 19-21, 2012. The Executive Director and Ala Breve Editor reviews were conducted by the Board. Positive comments were expressed. The next meeting of the AMEA Governing Board will be held on Saturday, August 27, 2011, 10:00 a.m., at the Renaissance Montgomery Hotel.
